Enterprise Search Software such as Perceptive Enterprise Search works by creating one or more indexes, which store the words and their positions within each document. When you perform a search, Perceptive Search queries the index, not the documents themselves. This is why it can return results so quickly.
Once built, an index needs updating regularly to reflect new and changed documents, and to remove references to deleted documents. You can create scheduled updates to perform this automatically. An update runs faster than the initial indexing, since it only reads the new or changed documents.
In a networked environment, your administrator may have already set up centralized indexes that are updated centrally. Since these are already built, you can search them straight away.
You can search an index as soon as it has been built. Follow these steps:
After performing a search, you will see a list of results that match your search terms. You can click each result to see its content in the Preview pane, or double-click to open it in a Browse window. You can also refine the result list to narrow your search, using the methods below:
Click a result column header to re-sort by that field
Double-click an item in the 'Refine Results' column
Move the sliders in the Date Bar
NOTE: If you are part of an organization, your administrators may have created one or more indexes centrally. These should show under 'My Index catalog'. In this case, Perceptive Enterprise Search - Local Administration Console may be configured so that you cannot build your own indexes.
To create a new index, pull down the File menu and select 'New Index...'. There are three options:
