In an audit event, the identity information displayed for an actor varies depending on whether the event was triggered by a system actor or a user actor.

System Actors

For auditing purposes, a system actor is a system component of the Content Innovation Cloud. When a system actor triggers an audit event, the audit event records the system identifier as the actor ID. For example, when the Identity and Access Management (IAM) component sends an email for a user-requested password reset, the associated audit event records iam as the actor ID. System components and their identifiers are managed internally by Hyland.

User Actors

For auditing purposes, a user actor is one of the following:

  • An interactive (human) user who authenticates through front-end Content Innovation Cloud applications.
  • A service user mapped to an external service application in the Administration Portal.
  • An internally managed service user associated with an application or service developed by Hyland.

When a user actor triggers an audit event, the audit event records the user ID as the actor ID. If applicable, the audit event also includes the actor's username and email address. In this case, the username and email address reflect the values returned by the system at the time the audit event was retrieved. Because usernames and email addresses can be updated, the values displayed in the audit event may not match the username or email address of the actor at the time the audit event occurred.

Note: Usernames and email addresses are cached for a maximum of 24 hours. If the actor's username or email address has been updated within the past 24 hours, the audit event may not reflect the most recent change. When a user's information is updated, an associated audit event is logged at the account level.
