In some cases, external plan examiners may review PDF plan documents outside of OnBase and add review comments directly to a PDF using Adobe or another PDF editor. These comments can be imported into OnBase and converted into Plan Review comments that will be associated to a corresponding plan that is already in OnBase.
Before importing comments from an externally reviewed PDF, ensure the following requirements are fulfilled:
- The Externally Reviewed Plan Document Type is configured for externally reviewed PDF documents. To configure a Document Type, see Configuring Document Types.
- The Externally Reviewed Plans Custom Query is configured for the Externally Reviewed Plan Document Type, and assigned to the Import Review Custom Query setting. To assign a Custom Query to this setting, see Mapping Document Types and Keyword Types.
- A corresponding plan document to which the comments will be associated already exists in the Plan Review project. Typically, the plan document is imported by the submitter through the Plan Review portal. If it has not been uploaded by the submitter or added to the project by another internal user, add the plan document by completing the following instructions: Adding Documents to a Project.
To import comments from an externally reviewed PDF, you must first record all keywords on the plan document. It is important that both the plan document and the externally reviewed PDF use matching keywords. Next, you must import the externally reviewed PDF that contains review comments. After both documents are imported into the Plan Review project, you must import the review comments from the externally reviewed PDF and convert them into project comments.
