In existing deployments, medical records arrive in the Health Information Management (HIM) department or other locations in paper and electronic form.

  • Paper documents may be brought in by patients, sent to paper fax machines, generated during clinic/department visits, or sent to or collected by HIM from departments in a hospital during a patient’s stay or after their discharge. These documents are prepared into batches (recommended 50 pages per batch) and scanned.
  • Electronic documents may be received via email, patient portals, electronic fax systems, and other file imports such as from lockbox providers. The electronic documents are imported into OnBase.

HIM resources or other staff are responsible for selecting an appropriate document type (classification) and applying metadata about the patient, encounter, or order the document belongs to (extraction).

Once the documents have been classified and the metadata applied, they are linked to the health system's EHR.

Business Problem

The Intelligent MedRecords (IMR) solution is designed to solve the following problems in existing deployments:

  • Manual selection of the Document Type and entering metadata is a time consuming and error-prone process.
  • Manual processes are inconsistent, and different resources across the same organization may classify documents differently.
  • Manual processes are difficult and costly to scale in response to changing demands.
  • Semi-automated tools, such as barcodes, are difficult and costly to maintain.
