You can import a supported file and add it as a document to OnBase Integration for Salesforce in the context of an existing custom or standard Salesforce object's record. When you import a supported file, this process indexes a file and creates a new document with one or more pages. You can do one of the following:

  • browse to a file location on your computer and select a file to import
  • drag and drop a file onto the document capture window

Once you provide the necessary information required to provide context to the files (keyword values or metadata), you can import the document into OnBase.

Note:

Any document that you upload cannot be imported as a revision or rendition of an existing document.

  1. After logging into Salesforce, navigate to the relevant Salesforce record.
  2. On the Salesforce Record Detail page, navigate to the section where OnBase Integration for Salesforce has been added.
For more information on logging on to the application, see Accessing OnBase Integration for Salesforce
  3. Log in to the application if you haven't been authenticated already.
  4. To import a document, do one of the following:
    • Select the file you want to import from your computer, drag the files to the document grid viewer window, and drop it in the Please drop selected files here area.

    • In the document list window, click Import.

From the window that opens, select one or more files that you want to import and click Open.

    • From the Import one or more files window that opens, click Upload.

    Note:

While trying to upload image files more than 3 MB using Internet Explorer, image previews cannot be seen due to performance issues with the browser.

  5. To add more files to the import, from the Import one or more files window, click Add more files.
    Tip:

To add multiple image files as different pages to a document and import them, on the Import one or more files window, drag the Single Document Import mode slider. This slider is automatically enabled if you are importing image files, else the slider appears disabled.

    Note:

Single Document Import mode imports files as documents with multiple pages while Multiple Document Import mode imports each file as one document.

  6. In the document import window, on the right-hand pane, enter the keyword values (or metadata) associated with a document by modifying the fields as required. These keywords and their values provide context to the content in the files that you have imported.
Note: You can modify a field or change keyword values based on configuration changes made in OnBase. These changes are typically made by your system administrator. Please contact your system administrator if you require help with configuring OnBase.
  7. After you have modified the fields, in the document capture window, click Upload.

    The files are imported.

    Note:

If you are not allowed to import a file, the Upload button appears disabled and you cannot drag and drop files to the document grid viewer window.
