This section explains how to execute System Tasks on documents displayed in the document viewer window.

System Tasks enable OnBase Workflow functionalities for documents available in OnBase Integration for Salesforce but not present in an OnBase Workflow queue. You can configure System Tasks to allow actions such as deleting documents, routing documents to OnBase Workflow for review and so on. However, interactive tasks that require user input such as user prompts or suspending a system task are not supported. Currently, only the Document System Task is supported that enables users to add documents to a Workflow queue.
Note: System Tasks are governed by preconfigured Document Type and User Group permissions. If a document belongs to a Document Type that is configured to use System Tasks, they can be initiated on the document. These changes are typically managed by your system administrator. Please contact your system administrator if you require help with these configurations.

To run a System Task:

  1. After logging on to the application, navigate to the document viewer window.
Note: If you haven't logged on to the application, please complete the instructions under Logging on to OnBase Integration for Salesforce (Desktop).
  2. From the list of documents displayed, click the down arrow from the right.
A drop-down list showing one or more preconfigured System Tasks is displayed.
  3. From the drop-down list, click a System Task you want to run.
If the task is run successfully, a message showing – Task Executed – is displayed.
