Export to ImageNow

The Export to ImageNow workflow action converts a submitted TransForm form to a tiff image and imports it, along with any attachments (left in their native form, if supported by ImageNow), into ImageNow as an ImageNow document.  Index keys and custom properties are assigned as appropriate to the document.

 

Configuring an Export to ImageNow Action

In order to have content sent to ImageNow as part of a form's workflow process, you must create an Export to ImageNow action and associate it with one of the form's workflow rules.

 

To configure a form's Export to ImageNow action as part of a workflow process, follow the steps below:

 

  1. Begin by going to the Submission tab under the Workflow tab for the form.

  2. Create a workflow rule for the form that determines the conditions under which the image export should occur.  For more information on creating workflow rules, see Rule Configuration.

  3. Create a new action for the rule you defined in the step above.  When prompted for action type, choose "Export to ImageNow."  As with other action types, you may optionally enable business process logging for this action.  For more information, see Rule Action Configuration.

  4. Choose a name for the action.

  5. Select Export to ImageNow as the Action Type and set the Action Order appropriately if needed.  Click the Next button.

  6. Choose the ImageNow Server and click Next.

  7. Configure the Index Keys as appropriate:

  8. Document Type:  Enter a document type or click the View Document Types link (below the Document Type caption) to view all document types or view by list.  Here you can choose a document type, then click Select to populate the Document Type field.

  9. Drawer:  Enter a document type or click the View Drawers link (below the Drawers caption) to view all drawers.  Here you can choose a drawer, then click Select to populate the Drawer field.

  10. Folder:  Enter a folder or click the Add Placeholder link to view all placeholder options.  These options include:

    1. Submission Related Data:  Submission ID, Submission Date, Submitted By, and Submission Reference Key

    2. Constants:  as defined on the Administration tab

    3. Form:  Document Type ID or Form Title

    4. Form Fields:  all fields on the current form

  11. Tab:  Enter a folder or click the Add Placeholder link to view all placeholder options.  For options available see Step 10 above.

  12. Field 3/Field 4/Field 5:  Choose values for these fields from their dropdown lists.  Options here are: Submission ID, Submission Date, Submitted By, Submission Reference Key, all fields on the current form.

  13. Workflow Queue:  Enter an ImageNow workflow queue for the exported form to be dropped into or click the View Workflow Queues link (below the Workflow Queue caption) to view all workflow processes and queues available.  First choose a Workflow Process, then click next to view associated queues.  Click on a queue name and choose Select to set the workflow queue in the Workflow Queue field.

  14. Once all options have been set, click Next to continue.

  15. If Custom Properties are available at this point, you can map them by choosing a Custom Property from the list on the left, then a form field from the list on the right, and clicking the Map button to set the mapping.  Continue until all custom properties are set as appropriate.  Click Next to continue.

  16. Review and set image export settings as needed.  Settings currently displayed are the ones set on the Imaging tab for the current form, but can be changed for this particular workflow rule action.

  17. Click Finish when setup is complete.
