The Export to Laserfiche workflow action converts a submitted TransForm form to a tiff image and imports it, along with any attachments (left in their native form, if supported by Digitech PVE), into Digitech PVE as a Digitech PVE document. Index keys and custom properties are assigned as appropriate to the document.
In order to have content sent to Digitech PVE as part of a form's workflow process, you must create an Export to Laserfiche action and associate it with one of the form's workflow rules.
To configure a form's Export to Laserfiche action as part of a workflow process, follow the steps below:
Begin by going to the Submission tab under the Workflow tab for the form.
Create a workflow rule for the form that determines the conditions under which the image export should occur. For more information on creating workflow rules, see Rule Configuration.
Create a new action for the rule you defined in the step above. When prompted for action type, choose "Export to Laserfiche." As with other action types, you may optionally enable business process logging for this action. For more information, see Rule Action Configuration.
Choose a name for the action.
Select Export to Laserfiche as the Action Type and set the Action Order appropriately if needed. Click the Next button.
Choose the Laserfiche Server and configure as follows:
Document Name: Enter a document name or click the Add Placeholders link (below the Document Name caption) to view all placeholder options. Here 3\enter the name that will be assigned to the new Laserfiche document. TransForm E-Forms Manager placeholders (Submission Related Data, Constants, form information, and form fields) and Laserfiche tokens may be used to specify all or part of the name.
On Naming Conflict: Choose how to treat naming conflicts: Do Nothing, Auto-Rename, or Overwrite.
Parent Folder: Enter the full path of the parent folder in the Laserfiche repository that the document will be stored in.
Submission Subfolder: In order to store the documents that result from a submission in a folder specific to that submission, enter a subfolder of the parent folder. TransForm E-Forms Manager placeholders (Submission Related Data, Constants, form information, and form fields) and Laserfiche tokens may be used to specify the subfolder. The subfolder will be created before the documents are stored if it does not exist in the repository. If the Submission Subfolder is not provided then the document(s) will be stored directly in the Parent Folder.
Template: Enter the name of the template definition in the Laserfiche repository that the document will be associated with. Check the Assign to Attachments checkbox to also assign template to attachments.
Once all options have been set, click Next to continue.
Map Index Fields by choosing an Index Field from the list on the left, then a form field from the list on the right, and clicking the Map button to set the mapping. Continue until all index fields are set as appropriate. Click Next to continue.
Click Finish when setup is complete.
